Design and Preparation

Effective facilitation begins before the event with Design and Preparation. Following these steps can help you to create a plan for a successful facilitation.

Step 1 - Match the Purpose, Plan and Audience

  • What type of session is it?
  • What is the purpose of the session?
  • Who should attend?

Step 2 - Define the Group Structure

  • What roles are needed? What role does each participant play? What are the responsibilities of each participant?
  • What are the stated norms for the group?
  • What format will be used for the agenda? What timelines apply to the agenda?
  • How will the activities of the group be documented? Who should receive the documentation?
  • How will the group make decisions?

Step 3 - Diagnose the Situation - These things should be planned for ahead of time and you can use those plans as needed during the Group Process.

  • What is the culture of the group?
  • What motivates the group?
  • What barriers exist?
  • What are the likes and dislikes of the group members?
  • What reactions/conflicts might occur?
  • What is the organizational context of the work? Group?

Step 4 - Define Specific Objectives

  • What outcome(s) is required?
  • Are the goals SMART?

Step 5 - Plan the Session Structure

  • What flow/processes will achieve the outcomes?
  • Does pre-work need to be done?
  • What specific activities will be used for the opening, middle and closing?
  • What tools will be used?
  • How long should or can the session be?
  • How will this session lead into the next?

Step 6 - Gather Resources

  • What resources will be needed during the session?
  • Where do I get the resources needed?
  • Will people know how to use the resources?

Step 7 - Evaluating Success

  • How will you judge success?
  • How will you get feedback from participants?
  • How will you critique your own performance? (Self Awareness)
