documentation checklist

documentation station set up
  • connect with video team about video and audio requirements for the documentation station (depending on the size of the event, the documenter may have trouble hearing participants speak and seeing the hypertiles on the Radiant Room wall)
  • connect with environment team about placement of documentation station during event prep time
  • set up pc or laptop at the documentation station
level of capture
  • connect with pf on the level of capture desired for the event--synthesis of all dialogue, key phrases/ideas, key words
  • agree on documentation expectations that meet the needs of the participants
  • assess how expectations and scope of event affects documentation team. Is another documenter required? Would editing assistance free up one documenter to capture bulk of event?
  • repeat assessment during event.
refer to strawdog
  • remain aware of the strawdog and any changes to the event's design
  • a separate word document is created for each report out (document should be labeled with event name and module name and number)

assignments/team list

  • connect with production team to receive current copies of assignments and team list
  • a team list may help documenter to follow the order of the report outs
  • a quick read of the assignments will prepare documenter for what participants will be taking about.

editing documentation

  • the documenter runs spell check and a first edit of their synthesis
  • a second documenter or other knowledge worker may do a second edit before handing off to the pf for a final look
documentation hand-off
  • depending on the chosen editing process, a documenter or the pf makes the final hand-off to production team
  • connect with the production team and pf on editing and handoff process
  • keep floppy discs handy if documentation station is not connected to the NavCenter server
  • documents may be sent to the production team by disc or server
  • connect with production team on file naming and saving procedures
