production: what is the archive storage box?

The Physical Archive Storage Box is a small and mobile filing cabinet. It is a central point of collection for all original paper documents. A set of files organized by consecutive Module Numbers helps the production team keep track of ASSIGNMENTS, DOCUMENTATION, and GRAPHICS from each module. One member of the production team, responsible for 'physical' production, takes ownership of the Archive Storage Box for the course of the event. NO ONE ELSE from the Krew should take anything from or put anything into the 'Archive Storage Box.' The Production Team member responsible for the Archive Storage Box will help the rest of the Krew retrieve needed copies of documents already archived in the Archive Storage Box. Once the event is concluded and the Journal (physical/website) complete, the documents filed in the Archive Storage Box will be transfered to a filing cabinet for long term archives. This will leave the Archive Storage Box empty and in good order for the next event and the next Production Team.

The event folder on the NavCenter Server will be the Electronic Archive Storage Box for the electronic archives. Within the event folder each Team (writing, graphics, k-wall, etc.) will have folders to keep their electronic work organized. The Production Folder or electronic 'Archive Storage Box' is also organized chronologically by Module Numbers and includes ASSIGNMENTS, DOCUMENTATION and GRAPHICS for each module.

ASSIGNMENTS include Word documents and hypertiles assignments. Ask the Writing Team to copy the FINAL electronic version of their assignments into your Production Folder.

DOCUMENTATION includes the real time synthesis captured by the Documentation Team. The Documentation Team will determine a method of editing their documentation that the Production Team must be aware of. Communicate with the Documentation Team about their editing process and file naming conventions to determine which version of the document is ready to be dropped into the Journal

. The documentation doesn't have to be in its final form to be placed in the Journal. The text may be edited within the journal if changes have yet to be made. The key is to establish the editing process and communicate the procedure to all members of the Krew who are affected by the procedure.

GRAPHICS include hypertiles, photographs of WorkWalls, Wall copy and photographs of Wall Scribing. Hypertiles and photographs of WorkWalls archived as GRAPHICS in the Production folder will need CLEANING and PREPARATION to be included in the Journal (paper or website)
