Reams and reams of paper go through the copying machine during events at the NavCenter. The Production Team will receive requests from Knowledge Workers, Process Facilitators and Participants alike for copies of this and that. It is up to the Production Team along with the other Knowledge Workers to be conscious of the well-being of the copier and prevent excessive paper waste.

Team Lists
Space Maps
Book chapters
Magazine Articles

Common copier settings:

To enlarge an image on a 8.5 x 11 (Letter) size sheet of paper to a 11 x 17 (hypertile size) size sheet of paper set the copier's zoom function to 129%.

To reduce an image on a 11 x 17 (hypertile size) size sheet of paper to a 8.5 x 11 (letter) size sheet of paper set the copier's zoom function to 64%.

Tips for avoiding excess paper waste:

When accepting Book Chapters, Magazine Articles, etc. from the Writing Team to make copies for Participant reading material...

Visit the Re-usable Reading Material file in the Production Room before making any copies. If the Chapter or Article is already filed away, you may use this master copy to make multiple copies for the Participants. Remember to return the master to the Re-usable Reading file.

If the Article you've been asked to copy is not in the Re-usable Reading file, please create a master copy of the new Article you are copying and add it to the Re-usable Reading file. Use an existing master as an example, (Book/Magazine cover, chapter numbers, page numbers, bibliography information).

When accepting assignments, team lists and maps from the writing and environment teams for copying...

Read the assignment. Does the assignment tell the participants that they will find their map on the back of the assignment or on the back of the team list? Does the assignment give any other instruction that might affect how the copied pages are arranged?

Read the assignment for spelling and grammar. Is all the header and footer information correct? Is the correct event name appear in the proper places? Is the Module Name/Number correct?

Compare the Team Lists and Space Map. Do all the Team Names/Topics match what appears on the Map?

Are you sure that the most recent changes to the Participants List (spelling changes, new arrival, absentee) made it to the team list?

Finally, check with the PF to make certain that this FINAL version of the assignment has passed inspection with the Facilitator/s and Process Facilitator.

Tips for archiving on the run:

When the Writing Team or other Krew members request copies of something for the Participants, this is your chance to keep an original for archiving and 'just in case' they return for more copies. In most cases the documents they bring for copying will already be electronic BUT if they haven't already identified the electronic location for you, a physical copy is GEFN (Good enough for now) and required for the Archive Storage Box anyway. This includes ASSIGNMENTS, TEMPLATES, READING MATERIAL, TEAM LIST, FLOOR MAPS, ETC. If they get away and didn't leave a copy don't be afraid to ask for what you need.

If you keep this GEFN copy for the Archive Storage Box make sure that you also locate the electronic version and that the two documents match. Ask for the FINAL version of the document.

Kindness to the copier:

You don't know what you've got until its gone.

Take good care of your copier. Get to know it a bit. Listen for it to cry out for paper or toner. A well-stocked copier is a happy copier and a happy copier is a happy Krew.
